How Machvitals works

From registering your first machine to handing over a completed repair: one connected workflow for managers and technicians.

Four goals. One shared workspace.

Safety

Make active work and virtual lockout tags visible, and identify who to contact before a handover.

Efficiency

Bring assignments, checklists, manuals and schedules together instead of searching through scattered records.

Transparency

Keep a traceable history of maintenance, repairs, parts and progress so the next person has context.

Minimal downtime

Use planned maintenance and health signals to help prioritise attention and prepare for the next service.

The day-to-day workflow

01

Build your company workspace

Create an account with email and password and choose manager or technician. Managers create a company profile and organise their plant with custom levels and branches: departments, sections, production lines, or names that match their operation.

02

Give each asset a permanent identity

Register a machine or robot with a photo, manufacturer, model, serial number and relevant specifications. Add segments and upload manuals or other documents. Each asset gets a unique ID and a printable QR label that links back to its profile.

03

Bring the right people into the work

Invite managers, technicians or viewers with a generated link, and use Send email to deliver it. Registered users also see pending invitations in their Invite inbox. Assign technicians to specific machines: they see assigned equipment, add records and updates, but cannot edit the machine’s core details. Technicians working for several companies can switch workspaces.

04

Plan maintenance and assign tasks

Create company-wide or machine-specific checklists, set recurring maintenance schedules and assign tasks to technicians on calendar dates. Use work orders to track repairs, priority, ownership and progress, so planned and unplanned work have a clear place to live.

05

Make active work visible

On an assigned machine, a technician starts a work session and can apply a virtual lockout tag. The profile shows their name and current work status. They can post progress notes, and teammates can open their contact card for any phone, WhatsApp or email details they have provided in their profile. Finish the session when the work is complete.

06

Record, review and hand over

Add maintenance and repair records, parts used or replaced, dates and downtime. Completed calendar tasks and recurring services leave a record of the work. Review the lasting maintenance history, activity trail and equipment health score; managers can also set a manual health rating. Keep manuals and reports with the asset for the next technician.

A quick scan, with controlled access

Anyone scanning a label can see a basic summary: the machine’s name, type, manufacturer and model. Full maintenance details stay protected and are available only to authorised signed-in users. Print your labels from the published Machvitals website so they point to your live profiles.

AI

Product help, when you need it

The AI help assistant answers common product questions and helps new users find their way around Machvitals. It does not inspect your machine, read your maintenance records or make safety decisions. For support, contact support@machvitals.com.

Virtual tags support communication—not physical safety controls.

Machvitals is not a safety-rated control system. A virtual lockout tag does not isolate energy, prevent a machine from starting or replace physical locks, verification and your site’s lockout/tagout procedures. An “Available” status means no active work session is recorded; it is not permission to operate. Physical E-stop monitoring is not connected today. Always follow your site’s safety procedures and verify the actual machine condition.
