1. Terms of Service
By creating a Machvitals account you agree to use the service only for lawful equipment maintenance management for yourself or the company you represent.
You are responsible for the accuracy of the equipment, maintenance, repair and parts information you enter, and for keeping your password confidential.
Company owners control who can join their workspace and what each member can see or record. Technicians may only access equipment assigned to them.
Machvitals is provided "as is". Maintenance records and health scores support, but never replace, the manufacturer’s instructions, safety procedures and the judgement of qualified people. We are not liable for equipment failure, injury or loss resulting from reliance on the service.
We may suspend accounts that misuse the service, and we may update these terms. If we make material changes we will ask you to accept them again.
2. Privacy Policy
We collect your name, email address, profile details, and the company, equipment, maintenance records, photos and documents you or your team upload.
This information is used to run the service, secure your account and support you. We do not sell your personal data.
Records are visible only to members of the company workspace according to their role. Uploaded documents are stored privately and shared through short-lived links.
Public visitors who scan an equipment QR code see only a basic summary (name, type, manufacturer and model) — never maintenance history or documents.
You can ask us to export or delete your personal data at any time. Some maintenance history may be kept for the company’s audit trail where the law or the company requires it.
3. Use of Artificial Intelligence
Machvitals uses artificial intelligence (AI) to help with features such as summarising maintenance history, suggesting checklist items, analysing faults and estimating equipment health.
When you use AI-assisted features, relevant content you provide (for example maintenance notes or equipment details) may be processed by trusted AI service providers solely to produce the result. It is not used to train public AI models.
AI output can be incomplete or wrong. Always review AI suggestions and confirm them with qualified personnel before acting on them, especially for safety-critical work.
4. Acceptable Use
Do not upload unlawful content, malware, or information you have no right to share. Do not attempt to access other companies’ workspaces or bypass security controls.
